Clinical Buddy is seeking a detail-oriented and highly organized Event Coordinator to join our team. As an Event Coordinator, you will be responsible for planning, coordinating, and executing virtual events and conferences related to mental health and psychoeducation. This is a part-time, remote position that offers flexibility and the opportunity to contribute to the success of impactful events in the mental health field.

Responsibilities:

  • Plan and coordinate virtual events and conferences, ensuring all logistical aspects are covered, such as scheduling, speaker coordination, registration management, and technical setup.
  • Collaborate with internal teams, external vendors, and speakers to ensure all event requirements are met, including content development, audiovisual needs, and promotional materials.
  • Manage event budgets, track expenses, and negotiate contracts with vendors to ensure cost-effective event execution.
  • Coordinate event registration processes, including creating and managing online registration platforms, monitoring participant registrations, and providing support to attendees as needed.
  • Develop event timelines, checklists, and project plans to ensure timely execution of all event-related tasks.
  • Conduct regular communication with speakers, sponsors, and attendees to provide event details, gather necessary information, and address any inquiries or concerns.
  • Coordinate technical aspects of virtual events, including platform setup, troubleshooting technical issues, and providing support to participants during the event.
  • Collaborate with the Marketing Team to develop and implement event marketing strategies, including email campaigns, social media promotion, and website updates.
  • Monitor event performance and collect feedback from participants, speakers, and stakeholders for future event improvements.
  • Stay up-to-date with industry trends, best practices, and emerging technologies related to virtual event management.

Requirements:

  • Bachelor's degree in a relevant field or equivalent work experience.
  • Proven experience as an Event Coordinator or similar role, preferably in the healthcare or mental health sector.
  • Strong organizational and project management skills, with the ability to manage multiple events simultaneously.
  • Excellent interpersonal and communication skills, with the ability to engage with speakers, sponsors, and attendees professionally and effectively.
  • Proficiency in virtual event platforms and tools, with the ability to troubleshoot technical issues and provide support to participants.
  • Detail-oriented with a focus on delivering high-quality event experiences.
  • Ability to work independently and collaboratively in a remote team environment.
  • Familiarity with event management software and tools.
  • Strong problem-solving skills and ability to adapt to changing priorities and deadlines.
  • A passion for mental health and a desire to contribute to meaningful events in the field.

Preferred Qualifications:

  • Experience coordinating virtual events and conferences.
  • Familiarity with mental health-related topics and initiatives.
  • Proficiency in using marketing tools and platforms to promote events.
  • Ability to track progress and utilize project management software such as Clickup.

Job Type: Part-time

Pay: $21.00 - $23.00 per hour
